Terms & conditions

These Terms & Conditions apply to all bookings and use of the Astro Turf and associated facilities operated by Astro 1 Ltd.

By making a booking, making payment and/or using the facilities, the Hirer agrees to these Terms & Conditions and accepts responsibility for ensuring that all players, participants, coaches, spectators, parents, guests and other persons associated with their booking comply with them.

1. BOOKINGS & PAYMENT

 1.1 Single Bookings

All single bookings must be paid in full at the time of booking.

A booking is not confirmed until full payment has been received by Astro 1 Ltd.

 1.2 Block Bookings

A Block Booking is defined as a booking covering a minimum period of 10 consecutive weeks.

The full cost of the Block Booking must be paid upfront and no later than 7 days before the first booking date.

Unless otherwise agreed in writing by Astro 1 Ltd, Block Bookings cannot be paid weekly or by instalments.

 1.3 No Payment, No Access

Where payment has not been received in accordance with these Terms & Conditions, Astro 1 Ltd reserves the right to refuse access to the Astro Turf.

The Hirer remains responsible for ensuring payment is received on time.

 1.4 Late Payment

Any payment not received by the applicable due date may be subject to a 20% late payment fee.

Astro 1 Ltd may suspend current or future bookings until all outstanding sums, including applicable late payment fees, have been paid.

 2. CANCELLATIONS, REFUNDS & MISSED BOOKINGS

 2.1 No Cancellations

All confirmed bookings are non-cancellable and non-refundable.

 2.2 Missed Bookings

No refund, credit or replacement session will be provided where the Hirer, team or participants fail to attend or are unable to use their booking.

Late arrival does not entitle the Hirer to additional time, a refund or a credit.

 2.3 Block Bookings

Missed sessions forming part of a Block Booking cannot be transferred, carried forward or exchanged for another date unless Astro 1 Ltd expressly agrees otherwise in writing.

 2.4 Cancellation by Astro 1 Ltd

Astro 1 Ltd reserves the right to cancel, relocate, suspend or terminate a booking where reasonably necessary due to:

- Unsafe playing conditions;
- Severe weather;
- Damage to the facilities;
- Maintenance or emergency works;
- Health and safety concerns;
- Events outside the reasonable control of Astro 1 Ltd; or
- Any other circumstances which make use of the facility unsafe or impractical.

Where Astro 1 Ltd cancels a booking before it begins and the cancellation is not caused by the Hirer or anyone associated with their booking, Astro 1 Ltd may offer a replacement session, account credit or refund for the affected session, as appropriate.

 

3. WEATHER & PLAYING CONDITIONS

The Astro Turf may remain open during rain and other normal weather conditions where Astro 1 Ltd considers the surface safe for use.

The decision as to whether the Astro Turf is safe and suitable for use rests with Astro 1 Ltd.

A Hirer’s decision not to attend because of weather conditions does not constitute a cancellation by Astro 1 Ltd and does not entitle the Hirer to a refund, credit or replacement booking.

Where Astro 1 Ltd determines that conditions are unsafe, the pitch may be closed immediately.

Players and Hirers must comply with any instruction from staff to stop play or leave the playing area.

 

4. BOOKING TIMES, CHANGEOVERS, EARLY USE & OVERRUNNING

 4.1 Booking Duration

Each one-hour booking provides 55 minutes of playing time, with the remaining 5 minutes reserved for changeover between bookings.

For example, where a booking starts at 7:00pm, the booked playing time ends at 7:55pm. All players, participants, coaches, spectators, equipment and personal belongings must be completely off the Astro Turf by 7:55pm, allowing the next booking to enter and begin promptly at 8:00pm.

The 5-minute changeover period does not form part of the Hirer’s playing or activity time.

The changeover period must not be used for:

- Continued play;
- Warm-ups or cool-downs;
- Team talks;
- Presentations;
- Photographs;
- Packing away equipment;
- Collecting personal belongings; or
- Any other activity on the Astro Turf.

The Hirer is responsible for managing the session so that play finishes in sufficient time for the Astro Turf to be fully vacated by the end of the 55-minute playing period.

Late arrival does not extend the booking or playing time and does not entitle the Hirer to a refund, credit or replacement time.

 4.2 Overruns

Remaining on or continuing to use or occupy the Astro Turf after the end of the 55-minute playing period will be treated as an overrun and an infringement of these Terms & Conditions.

An overrun includes:

- Continuing to play;
- Conducting a cool-down or team talk;
- Taking photographs;
- Packing away;
- Collecting equipment or personal belongings;
- Remaining on the playing surface;
- Allowing spectators or other attendees to remain on the playing surface; or
- Otherwise failing to vacate the Astro Turf by the required time.

All overruns will be charged at the applicable hourly booking rate.

Any part of an hour will be rounded up to the next full hour. For example:

- An overrun of up to 60 minutes will be charged as one hour;
- An overrun of more than 60 minutes and up to 120 minutes will be charged as two hours; and
- Each further period or part-period of 60 minutes will be charged as an additional full hour.

Any overrun charge is payable in addition to the original booking fee.

The charge applies whether or not another customer was due to use the Astro Turf and whether or not the overrun caused any disruption.

Payment of an overrun charge does not give the Hirer the right to continue using the Astro Turf beyond the end of the 55-minute playing period.

Where another booking follows, or where Astro 1 Ltd requires the facility to be vacated, the Hirer and everyone associated with the booking must stop all activity and leave the Astro Turf immediately when instructed.

Repeated overrunning may result in future bookings being refused, suspended or terminated.

 4.3 Early Access and Additional Use

Any access to or use of the Astro Turf before the confirmed booking start time will be treated as unauthorised additional use.

Early access or additional use will be charged at the applicable hourly booking rate.

Any part of an hour will be rounded up to the next full hour.

The charge applies whether or not the Astro Turf was occupied immediately before the booking, whether or not another customer was due to use it and whether or not the early use caused any disruption.

Payment of an additional-use charge does not give the Hirer a right to access the Astro Turf early or disregard an instruction from Astro 1 Ltd staff.

 

5. PROTECTION OF THE ASTRO TURF

The Hirer is responsible for ensuring that everyone associated with their booking respects and protects the Astro Turf.

The following are strictly prohibited on the playing surface:

- Smoking;
- Vaping;
- Cigarettes or cigarette ends;
- Littering;
- Chewing gum;
- Glass bottles or glassware;
- Football boots with blades;
- Football boots with studs;
- Unsuitable footwear;
- Open flames or fireworks;
- Deliberately cleaning muddy footwear on the playing surface; and
- Any equipment or activity likely to damage the Astro Turf.

Only footwear specifically considered suitable for use on an Astro Turf surface may be worn.

Astro 1 Ltd reserves the right to decide whether footwear is suitable and may refuse access to or remove anyone wearing unsuitable footwear.

 

6. DAMAGE

The Hirer is responsible for any damage caused to the Astro Turf, goals, fencing, buildings, cabin, toilets, equipment or any other part of the premises by themselves or anyone associated with their booking.

Astro 1 Ltd reserves the right to recover the reasonable cost of:

- Repairs;
- Replacement;
- Specialist cleaning;
- Waste removal;
- Unblocking toilets or drains;
- Contractor call-outs; and
- Any other reasonable remedial costs resulting from the booking.

Any damage must be reported to a member of staff immediately.

Charges for damage, repair, replacement, cleaning or other remedial work will be based on the reasonable cost incurred by Astro 1 Ltd and are separate from hourly infringement charges.

 

7. LITTER & CLEANLINESS

The Astro Turf and all surrounding areas used in connection with the booking must be left in a clean and tidy condition.

All rubbish must be placed in the bins provided.

No bottles, packaging, food, clothing, sports equipment or other waste may be left behind.

Where Astro 1 Ltd considers that an area has been left in an excessively dirty or unacceptable condition, the Hirer may be charged for additional cleaning and/or waste removal.

 

8. TOILETS & CABIN FACILITIES

Toilet facilities for Astro Turf users are provided within the designated cabin.

The toilets and cabin are shared facilities and must be treated with respect and left in a clean and tidy condition for the next users.

The Hirer is responsible for the conduct of all persons associated with their booking while using these facilities.

The following conditions apply:

- Toilets must be used appropriately and only for their intended purpose.
- All rubbish must be placed in the bins provided.
- Nothing other than normal toilet waste and toilet paper may be flushed down the toilets.
- Toilets, sinks, fixtures, fittings, doors and other facilities must not be damaged, tampered with or misused.
- Muddy footwear or sporting equipment must not be washed or deliberately cleaned in toilet sinks.
- Smoking and vaping are prohibited inside the cabin and toilet facilities.
- Food must not be left within the cabin or toilets.
- Children using the facilities remain the responsibility of their supervising adult and/or the Hirer.
- Users must not enter any staff-only, storage, plant or otherwise restricted areas.

Any damage, blockage, spillage or other problem must be reported to Astro 1 Ltd as soon as reasonably possible.

Where the toilets or cabin are left in an excessively dirty or unacceptable condition, Astro 1 Ltd reserves the right to charge the Hirer for additional cleaning, waste removal, repairs, unblocking or other reasonable remedial work.

Repeated misuse of the cabin or toilet facilities may result in future bookings being suspended or refused.

 

9. INJURIES & LIABILITY

Participation in football, sport and other physical activity carries an inherent risk of injury.

Hirers are responsible for ensuring that participants are appropriately supervised and are fit and able to participate in the activity being undertaken.

Astro 1 Ltd accepts no responsibility for injury, loss or damage except to the extent that liability cannot lawfully be excluded or limited.

Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so.

 

10. EMERGENCIES & ACCIDENTS

In the event of an emergency or accident, immediately make a member of staff aware or contact:

For serious or life-threatening emergencies, call 999.

Any significant accident, injury or damage occurring during a booking must be reported to Astro 1 Ltd as soon as reasonably possible.

 

11. CHILDREN & SAFEGUARDING

Where participants are under the age of 18, the Hirer, coach, club or organiser is responsible for ensuring appropriate adult supervision.

Children must not be left unsupervised elsewhere on the premises.

Where a club, academy, coach or organisation provides activities for children or vulnerable persons, that organisation is responsible for complying with applicable safeguarding requirements and ensuring that its coaches, staff and volunteers hold any necessary qualifications, checks and insurance.

Astro 1 Ltd does not assume responsibility for supervising children participating in independently organised bookings.

 

12. COACHES, CLUBS & COMMERCIAL USE

A standard Astro Turf booking does not automatically grant permission to operate a business, football academy, coaching programme, league, tournament, event or other commercial activity from the premises.

Prior written authorisation from Astro 1 Ltd must be obtained for commercial or organised activities of this nature.

Astro 1 Ltd may request evidence of:

- Public Liability Insurance;
- Coaching qualifications;
- Safeguarding arrangements;
- Risk assessments; and
- Other relevant licences, certifications or documentation.

Failure to provide requested documentation may result in access being refused.

 

13. EXTERNAL CATERING, DRINKS & VENDORS

No external catering company, catering van, mobile food unit, caterer, drinks provider, drinks supplier, mobile bar, food trader, retailer or other vendor may sell, supply, serve or provide food, drinks, products or services anywhere on the premises without prior written authorisation from Astro 1 Ltd.

This prohibition includes goods or services which are:

- Sold directly;
- Sold indirectly;
- Included within another package;
- Paid for in advance;
- Supplied free of charge as part of a commercial activity;
- Provided in return for a ticket, entry fee, membership fee or contribution; or
- Otherwise supplied or distributed in connection with a booking.

Astro 1 Ltd reserves the right to require any unauthorised caterer, catering van, drinks provider, vendor or trader to cease operating immediately and/or leave the premises.

The Hirer is responsible for ensuring that no unauthorised caterer, drinks supplier or vendor is invited, engaged, booked or permitted to operate in connection with their booking.

 

14. FOOD & DRINK

No glass bottles or glassware are permitted on the Astro Turf.

Food must not be consumed on the playing surface unless specifically authorised by Astro 1 Ltd.

Non-alcoholic drinks must be kept in suitable plastic bottles or containers.

All food, drink containers and associated waste must be removed from the Astro Turf following the booking.

 

15. ALCOHOL

Alcohol must not be brought onto or consumed on the Astro Turf without prior written authorisation from Astro 1 Ltd.

The sale or supply of alcohol anywhere on the premises is prohibited unless authorised by Astro 1 Ltd and carried out in accordance with applicable licensing requirements.

Astro 1 Ltd reserves the right to refuse access to or remove any person whose intoxication or behaviour presents a risk to themselves, other users, staff or the facilities.

 

16. SMOKING & VAPING

Smoking and vaping are strictly prohibited on the Astro Turf and inside the cabin and toilet facilities.

Cigarettes, cigarette ends and vaping equipment must not be brought onto or discarded on the playing surface.

Smoking and vaping are permitted only within areas specifically designated or authorised for that purpose.

 

17. ANIMALS

Dogs and other animals are not permitted on the Astro Turf unless specifically authorised by Astro 1 Ltd.

This does not prevent access where legally required for an assistance dog, subject to reasonable arrangements concerning the playing surface and other users.

 

18. CONDUCT & BEHAVIOUR

The Hirer is responsible for the behaviour of all players, participants, coaches, parents, spectators and guests associated with their booking.

Users must behave respectfully towards staff and other users of the premises.

The following will not be tolerated:

- Abusive or threatening behaviour;
- Violence or intimidation;
- Discriminatory behaviour;
- Harassment;
- Deliberate damage;
- Dangerous behaviour; or
- Unreasonable disruption to other customers or the operation of the premises.

Astro 1 Ltd reserves the right to remove individuals and/or terminate a booking immediately where reasonably necessary.

Where a booking is terminated because of misconduct or a breach of these Terms & Conditions, no refund will be payable.

 

19. NOISE & DISTURBANCE

Hirers must have reasonable regard for other users of the premises and neighbouring properties.

Excessive or unnecessary noise outside normal sporting activity must be avoided, particularly during evening bookings.

Music, amplified sound or PA systems may not be used without prior authorisation from Astro 1 Ltd.

Following the end of a booking, players, spectators and guests must leave the Astro Turf and surrounding areas in an orderly manner and must not cause unnecessary noise or disturbance in the car park or elsewhere on the premises.

Astro 1 Ltd staff may require noise levels to be reduced or an activity to cease where it is causing unreasonable disturbance.

 

20. DANGEROUS OR PROHIBITED ACTIVITIES

No activity may take place which, in the reasonable opinion of Astro 1 Ltd, creates an unacceptable risk to persons, property or the playing surface.

The Hirer must immediately comply with any instruction from Astro 1 Ltd staff to stop an unsafe or prohibited activity.

 

21. PERSONAL BELONGINGS

Personal belongings, clothing, equipment, phones, wallets, bags and valuables are brought onto the premises at the owner’s risk.

Astro 1 Ltd accepts no responsibility for loss, theft or damage to personal property except where liability cannot lawfully be excluded.

Users should not leave valuables unattended.

 

22. EQUIPMENT

Goals and equipment supplied by Astro 1 Ltd must be used only for their intended purpose.

Equipment must not be moved, altered, climbed upon or removed from its designated area without permission.

The Hirer is responsible for any equipment they bring onto the premises and must ensure it is safe and suitable for use.

 

23. PARKING & VEHICLE REGISTRATION

The premises operate a vehicle registration and parking management system.

All vehicles using the premises must be correctly registered using the designated registration tablet or QR code, where applicable.

It is the responsibility of the vehicle owner/driver and the Hirer to ensure that vehicle registration details are entered correctly and within the required time.

The Hirer is responsible for informing all players, coaches, parents, spectators, guests and visitors associated with their booking of the parking requirements.

Astro 1 Ltd accepts no liability for parking charges, notices or fines incurred as a result of:

- Failure to register a vehicle;
- Incorrect vehicle registration details;
- Registration outside the permitted period;
- Failure to follow parking signage or instructions; or
- Any other failure to comply with the parking requirements in force at the premises.

Parking is subject to availability. Booking the Astro Turf does not guarantee a particular parking space.

Vehicles must not block gates, emergency access routes, entrances, exits or other vehicles.

 

24. RIGHT TO REFUSE OR TERMINATE ACCESS

Astro 1 Ltd reserves the right to refuse, suspend or terminate access where:

- Payment remains outstanding;
- These Terms & Conditions have been breached;
- A person presents a health or safety risk;
- There is abusive, threatening or dangerous behaviour;
- The Astro Turf or other facilities are being damaged or misused;
- An unauthorised commercial activity is taking place;
- An unauthorised vendor, caterer or drinks provider is operating;
- An unhired part of the Astro Turf is being used or occupied;
- The Hirer or associated persons enter the Astro Turf before the confirmed start time;
- The Hirer or associated persons fail to leave at the end of the 55-minute playing period; or
- Astro 1 Ltd reasonably considers continued use inappropriate or unsafe.

Where access is refused or a booking is terminated because of the actions of the Hirer or persons associated with their booking, no refund will be payable.

Termination of a booking does not remove the Hirer’s responsibility to pay any applicable infringement, additional-use, cleaning, damage or remedial charges.

 

25. INSURANCE

Clubs, coaches, academies, businesses and other organisations using the Astro Turf are responsible for maintaining any insurance reasonably required for their activities.

Astro 1 Ltd may request evidence of Public Liability Insurance or other appropriate insurance before permitting an organised or commercial activity to take place.

 

26. COMPLIANCE WITH STAFF INSTRUCTIONS

All users must comply with reasonable instructions issued by Astro 1 Ltd staff concerning:

- Health and safety;
- Access;
- Booking and changeover times;
- Early arrival or set-up;
- Vacating the pitch;
- Use of hired and unhired areas;
- Parking;
- Conduct;
- Protection of the Astro Turf;
- Cabin and toilet facilities;
- Use of equipment; and
- General operation of the premises.

The decision of venue management in relation to immediate operational and safety matters shall be final.

 

27. CHANGES, TRANSFERS & SUB-LETTING

Bookings may not be transferred, resold, sub-let or provided to another person, team, club, academy or organisation without prior approval from Astro 1 Ltd.

Any requested change to a booking is subject to availability and approval by Astro 1 Ltd.

Agreement to a change on one occasion does not create an entitlement to future changes.

 

28. FORCE MAJEURE

Astro 1 Ltd shall not be responsible for failure to provide access to the facilities where this results from circumstances outside its reasonable control, including:

- Severe weather;
- Flooding;
- Fire;
- Power failure;
- Government restrictions;
- Emergency works;
- Failure of essential services; or
- Other exceptional circumstances outside the reasonable control of Astro 1 Ltd.

Where reasonably possible, Astro 1 Ltd may provide an alternative date or appropriate credit for an affected booking.

 

29. ACCEPTANCE OF TERMS

Payment for a booking constitutes acceptance of these Terms & Conditions.

The person making the booking confirms that they are authorised to make the booking and accepts responsibility for communicating these Terms & Conditions to all players, participants, coaches, parents, spectators and guests associated with the booking.

Failure by an individual participant or guest to read these Terms & Conditions does not remove the Hirer’s responsibility for compliance.

 

30. AMENDMENTS

Astro 1 Ltd reserves the right to amend these Terms & Conditions from time to time.

The Terms & Conditions applicable to a booking will be those provided or made available in connection with that booking, subject to changes required for legal, regulatory, operational or health and safety reasons.

 

31. PART-PITCH BOOKINGS

Where the Hirer has booked only part of the Astro Turf, the booking permits use only of the specific pitch, section or area identified in the booking confirmation.

The Hirer must ensure that no player, participant, coach, parent, spectator, guest or other person associated with the booking enters, uses, warms up on, waits in, stands on, stores equipment in or otherwise occupies any other part of the Astro Turf.

All parts of the Astro Turf that have not been hired must remain clear at all times. This requirement applies whether or not those areas appear vacant and whether or not another booking is taking place.

Any entry into, use or occupation of an unhired area will be treated as an infringement and unauthorised additional use of the Astro Turf.

The unauthorised use will be charged at the applicable hourly booking rate. Any part of an hour will be rounded up to the next full hour.

For example, if an unhired area is occupied for any period of up to 60 minutes, the Hirer will be charged for one full hour.

The charge applies whether or not the unauthorised use prevented another customer from using the area and whether or not another booking was disrupted.

Payment of an additional charge does not give the Hirer permission to continue using or occupying the unhired area.

All persons and equipment must leave the unhired area immediately when instructed by Astro 1 Ltd staff.

Repeated or serious unauthorised use of an unhired area may result in the booking being suspended or terminated and future bookings being refused.

 

32. ARRIVAL, SET-UP & EARLY USE

All arrival, access, registration, preparation, warm-up and set-up time on the Astro Turf must fall entirely within the confirmed booking period.

The Hirer must ensure that all players, participants, coaches, parents, spectators, guests, contractors and other persons associated with the booking remain off the Astro Turf until the confirmed start time.

All equipment associated with the booking must also remain off the Astro Turf until the confirmed start time.

Any early entry, occupation, registration, preparation, warm-up or set-up on the Astro Turf will be deemed an infringement and unauthorised additional use.

This applies whether or not:

- The Astro Turf was occupied immediately before the booking;
- Another customer was due to use the Astro Turf;
- The early entry caused any disruption;
- Play had begun;
- Goals, equipment or other items had been set up; or
- Another booking was affected.

Early use will be charged at the applicable hourly booking rate.

Any part of an hour will be rounded up to the next full hour. For example, entry or set-up at any time during the hour before the confirmed start time will result in a charge for one full additional hour.

Payment of the additional charge does not create an automatic right to early access. Astro 1 Ltd may refuse entry to the Astro Turf before the confirmed start time.

Where additional time is required for arrival, registration, preparation, warm-up, equipment placement or set-up, the Hirer must book and pay for sufficient additional time in advance.

 

33. GENERAL APPLICATION OF HOURLY INFRINGEMENT CHARGES

Unless otherwise expressly stated in writing by Astro 1 Ltd, any infringement involving the unauthorised use of additional Astro Turf time or space will be charged at the applicable hourly booking rate.

Any part of an hour will be treated as a full hour and rounded up to the next full-hour charging period.

For the avoidance of doubt:

- 1–60 minutes will be charged as one hour;
- 61–120 minutes will be charged as two hours;
- 121–180 minutes will be charged as three hours; and
- Each further period or part-period of 60 minutes will be charged as an additional full hour.

Hourly infringement charges apply separately from any charges for damage, repairs, cleaning, waste removal, contractor attendance or other remedial costs.

The Hirer remains responsible for an infringement committed by any player, participant, coach, parent, spectator, guest, contractor or other person associated with their booking.

Payment of an infringement charge does not authorise the infringement or prevent Astro 1 Ltd from stopping the activity, removing individuals, terminating the booking or refusing future bookings.
